FOR NEWCASTLE LANDLORDS & LETTING AGENTS

Your property. Your tenants. A clear plan.

Whether you manage one rental home or several properties, Joe can help you arrange landlord gas safety checks and discuss boiler servicing, heating repairs and domestic plumbing. Start with the property address, appliance list and due date so the right visit can be agreed.

LANDLORD GAS SAFETY CHECKS

Plan the inspection before it is due.

Tell Joe which landlord-provided gas appliances are in the property, including boilers, cookers and gas fires. Confirm the scope and price when booking. The inspection should be carried out by a Gas Safe registered engineer qualified for the relevant work.

The record documents the checks and findings. If an issue is identified, Joe can explain the action needed and discuss any repair work separately.

ACCESS, RECORDS & FOLLOW-UP

Keep everyone informed.

Provide your landlord or agent details, the tenant’s agreed contact arrangements and instructions for access. Let Joe know who can authorise additional work and who should receive the record.

Keep the gas safety record with your property documents, share it with the tenant as required and make a note of the next due date. A safety check is separate from ongoing appliance maintenance.

THE LANDLORD’S CHECKLIST

Know the dates. Keep the records.

Every year

Arrange the safety check

Relevant landlord-provided gas appliances and flues need an annual safety check. Safe maintenance of gas fittings and flues is also a continuing duty.

Within 28 days

Give existing tenants a copy

Provide the completed gas safety record to existing tenants within 28 days of the check.

Before move-in

Give new tenants the record

Supply the current record before a new tenant moves in. Check the property’s inspection status when preparing a new tenancy.

Retain records for at least two years. If using the early-check flexibility that preserves the original deadline, retain the evidence needed to demonstrate the checks were completed within the permitted timescales.

ANSWERS FOR LANDLORDS

Newcastle landlord gas safety FAQs.

What is a landlord gas safety record or CP12?

It is the record of the gas safety check, identifying the appliances checked and the findings. It is commonly called a CP12. It is not a promise that no future fault will occur. See HSE record guidance.

Is a boiler service the same as a gas safety check?

No. The safety check and appliance servicing serve different purposes. Ask Joe to quote for both if you want them arranged together; do not assume servicing is included in an inspection booking. See boiler servicing.

Which appliances should I mention when booking?

List all gas appliances you provide at the property, not just the boiler, and explain any shared or unusual arrangements. Joe can confirm the appropriate scope before booking. See HSE guidance on appliances and flues.

Can I arrange the check before the existing due date?

HSE explains that checks can be carried out within the two months before the deadline while retaining that deadline, subject to the rules. Give Joe the previous record so the timing can be checked. See HSE’s timing and record guidance.

What if the tenant will not allow access?

Start arranging access early and keep records of your attempts. HSE advises landlords to take reasonable steps and not force entry. Follow its tenant access guidance and obtain advice for your circumstances if access remains unresolved.

What happens if the check finds a problem?

The findings and any required action will be explained. Follow the engineer’s safety advice, including any restriction on using an appliance. Joe can discuss remedial work and any further visit needed; a check does not guarantee that every appliance will pass.

Can letting agents or landlords with several properties enquire?

Yes. Send a separate address, appliance list and due date for each property, with access and authorisation details. Joe can discuss the scope and appointment availability for each address. Please confirm arrangements before promising a tenant a visit.

Do you provide 24-hour help for tenant emergencies?

Our telephone lines are manned 24 hours a day for urgent plumbing and heating enquiries. Call 0191 206 9040 to discuss the problem and attendance availability. Planned gas safety inspections should be booked in advance.

What will the landlord gas safety check cost?

The quotation depends on the appliances, property and agreed work. Provide the appliance list and ask Joe to confirm the inspection price, whether servicing is included and how any additional repairs would be authorised.

How do I book a Newcastle landlord gas safety check?

Use the contact form or call with your postcode, appliance details and due date. Include agreed tenant access arrangements and the person responsible for approving work. The appointment is confirmed once availability and scope have been agreed.
